We are seeking a detail-oriented and proactive HR Coordinator to join our team. In this role, you will support the Human Resources department by managing a variety of administrative and operational responsibilities that keep daily HR functions running smoothly. Responsibilities

  • Maintain accurate and confidential employee personnel files, including onboarding documentation, change forms, terminated employee files, and compliance records, following proper record retention practices

  •  

    Manage data entry and updates in HRIS (ADP), including employee changes, reporting, and system audits

  •  

    Conduct and audit I-9 documentation to ensure compliance with federal regulations

  •  

    Prepare and distribute HR reports (weekly, monthly,quarterly) and provide insights to HR leadership; recommend process improvements to enhance efficiency and compliance

  •  

    Administer employee milestone and recognition programs, including service awards and Royal Recognition coordination (with invoicing)

  •  

    Track and send reminders for 30/60/90-day reviews and other performance management timelines

  •  

    Post job openings in the applicant tracking system (ATS), Coordinate Interviews, and manage candidate experience

  •  

    Monitor HR and ITC inboxes, triage inquiries, and provide timely support to employees and managers

  •  

    Assist with employee engagement initiatives, events, and activities that support a positive workplace culture

  •  

    Maintain compliance with federal, state, and company policies, procedures, and reporting requirements

  •  

    Support HR projects and perform other duties as assigned

Qualifications

  • Education: Associate's degree required; Bachelor’s degree in Human Resources, Business Administration, or a related field preferred

  •  

    Experience: Minimum of 2 years of HR-related experience preferred, ideally in a generalist or coordinator capacity

  • Analytical & Detail Orientation: Strong analytical skills with exceptional attention to detail; capable of identifying trends, discrepancies, and opportunities for process improvement

  • Adaptability: Comfortable managing multiple priorities in a fast-paced, dynamic work environment while maintaining professionalism and a positive attitude.

  • HRIS Proficiency: Hands-on experience with Human Resource Information Systems (HRIS), such as ADP, Oracle, Workday, or PeopleSoft

  • Confidentiality & Ethics: Demonstrated ability to handle confidential, sensitive, and personal employee information with integrity and discretion

  • Communication Skills: Excellent verbal and written communication skills; able to interact effectively with employees, managers, and executives across all levels of the  organization

  • Problem-Solving Mindset: Proactive and inquisitive approach to problem-solving, with a focus on identifying root causes and anticipating downstream impacts of HR actions or policies

  • Collaboration & Independence: Strong team player who collaborates well across departments, yet capable of working independently and taking initiative when needed

  • Technical & Administrative Proficiency: Proficient in Microsoft Office Suite (especially Excel, Outlook, and Word); comfortable with data entry, file management, and HR reporting tools
